Layered encryption
TLS 1.2+ protects data in transit. At rest, AES-256 encrypts stored records. Sensitive fields such as name and date of birth also receive application-level encryption with a key unique to your institution, so one school's data is never protected by another's key.
ID photos are not saved
We keep the verification result and the fields needed for follow-up. ID photos are not stored in our application database and are never sent to your SIS or admissions system.
Never used to train AI
Applicant identity data is not sold, shared for model training, or fed into generative AI systems. It is used only to run the verification check for your institution.

Security and privacy
Where is applicant ID data processed?
By a verification engine that runs inside our own infrastructure, not by a third-party identity-verification service. Verification media stays in private, access-restricted storage used only for the verification step.
Do you store copies of applicant ID photos?
Not in our application database, and we don't send them to your admissions system or SIS. Your staff see the result and the extracted fields needed for follow-up, not a stored copy of the ID photo.
How is applicant data encrypted?
Data is encrypted in transit and at rest. Sensitive personal fields also get application-level encryption with a separate key for each institution, so one institution's data is never protected by another's key.
How do applicant verification links work?
Each applicant gets a unique link that expires. We store only a one-way hash of the link, never the link itself, and expired links are rejected.
Who can see our data?
Only people you invite to your institution's account. Roles limit what each person can do: admins manage settings and users, reviewers decide uncertain cases, and viewers have read-only access. Other institutions can't see your records.
Is every action recorded?
Yes. Staff actions, including review decisions, are written to an audit log.
Are uncertain results automatically failed?
No. Borderline results go to REVIEW so a person makes the decision, rather than automatically rejecting an applicant.
How long do you keep data?
The retention period is set per institution, and data past that period is removed by an automated process. Ask us about your options during the consultation.
How are payment details handled?
Billing runs through Stripe. We never see or store your full card number.
